The Lake Minnetonka Conservation District is accepting applications for an Executive Assistant for Code Enforcement and Operations!

The Lake Minnetonka Conservation District (LMCD) brings together fourteen different cities, two counties, and many state and local agencies to protect, preserve and enhance Lake Minnetonka’s environment, economy and vitality. We are a uniform, coordinating body that cares for and regulates one of Minnesota’s most important resources. Lake Minnetonka is a unique asset requiring unique governance. This position performs a wide variety of administrative, technical, and clerical tasks that support organization Staff in their day-to-day responsibilities. This position assists with organizing meetings, educational safety programs, and performing onsite field inspections related to lakeshore inquiries and complaints, document management, administrative operations, and other organizational needs as they arise.

ESSENTIAL FUNCTIONS OF THE POSITION:

  1. Provide frontline support in customer service and greeting the public, the servicing of phone, mail, e-mail, and in-person inquiries regarding routine LMCD information and making referrals to other staff as appropriate.
  2. Answer public inquiries regarding regulations and requirements and make referrals to other agencies when appropriate.
  3. Perform clerical duties, maintain files, and organize digital and print documents; scanning, photo coping, etc. as needed.
  4. Assist in planning and organizing events, board meetings, and employee activities or special projects.
  5. Prepare reports, presentations, data requests, and other documents.
  6. Maintain document management systems including databases, files, records, and correspondence for meetings, legal processes, licenses, permits, contributions, programs, projects, and other items.
  7. Process LMCD Board of Director, committee, staff and other correspondence and mailings for proper distribution.
  8. Assist in the administration and processing of LMCD applications, licenses, permits, events, etc. Assist Manager of Code Enforcement in review and resolution of applications and complaints.
  9. Monitor and order office supplies, anticipating adequate supply within budget allowances.
  10. Assist with communications such as preparation of print and digital media for a variety of channels: handouts, websites, social media, news releases, videos, emails, alerts, etc. Assist in the management of the LMCD’s website, email system, distribution lists, social media and other communication avenues.
  11. Assist in solar light maintenance and hardware inventory, signs, AIS events, and other lake programs and initiatives.
  12. Perform other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Two or Four Year Degree from an accredited college or university preferred.
  • Working knowledge with Microsoft Office Suite.
  • Previous experience handling office responsibilities, customer service, or related experience.
  • Highly organized multi-tasker who works well in a fast paced environment.
  • Experience with web applications, social media, and other communication tools.
  • Demonstrated ability to work with general public and other customers, other public agencies and officials, the Board of Directors, and co-workers.
  • Excellent written and verbal communication skills.
  • Experience with Quickbooks preferred.

COMPENSATION:

This is a Salaried position with annual pay of around mid $50,000. Health Benefits are also available, which include: Health, Dental, and HSA.
